- ·Email address and a reference to the session they are joining — used to deliver a one-time code.

Cookies
- ·Essential session and CSRF cookies only.
- ·No analytics, advertising, or third-party trackers.
Why we use it, and our legal basis
We use this data to run the portal, authenticate users, and send transactional email — administrator invitations, password resets, MFA codes, session-end notifications, and player one-time codes. We do not send marketing email and there is no marketing list.
Under the GDPR, our legal basis for processing operator and venue-admin data is performance of our contract with the cinema chain. For players, our legal basis is legitimate interest in delivering the session they are joining.
How long we keep it
Operator and venue-admin records: while the account is active, plus twelve months for security and audit. Player OTP records (email and session reference): thirty days after the session. Anonymous, aggregate statistics may be retained longer for reporting.
Sub-processors
We use Amazon Web Services to host the platform and to deliver authentication and transactional email on our behalf. All data is stored and processed in the European Union. AWS acts as a data processor under its Data Processing Addendum. We do not sell personal data and do not share it with advertisers, marketers, or data brokers.
Your rights
Under the GDPR you have the right to access, rectify, erase, restrict processing of, and port your personal data, and to object to specific processing. To exercise any of these, email privacy@cinadmin.com. We respond within thirty days. You may also complain to the Data Protection Commission of Ireland at dataprotection.ie.
If we change something material on this page we will update the date at the top and, for operator accounts, send a notice to the email on file before the change takes effect.
